TD Pay – Payment Process Overview
To trigger the TD Pay process, all of the following must be true:

The worker (coach, staff, trainer, or official) is confirmed and has checked in.

They have a Tourney Direct account with a connected payment account.

The event organizer has deposited and scheduled the stipend payments.
Understanding the Dashboard
Key Dashboard Columns to Track Payments

Status: Must be “Confirmed” (or “Second Confirmed”) and then “Checked-In”.

Response: Did the worker accept your offer to work?

W9: Has the worker connected a payment account?

Stipend: Has a payment amount been entered?

Pay: Shows whether the worker has been paid.
Status Definitions

Interested: The worker submitted the “I’m Interested” form.

Confirmed: You confirmed this person to work (or officials to reserve availability). Confirmation triggers an automatic email.

Transferred: A worker transferred their position to someone else. Status updates automatically after approval.

Canceled: The worker rejected your offer or canceled via their portal. Status updates automatically.

Standby: You’re placing an interested worker on a waitlist or selecting between multiple applicants (e.g., multiple coaches from the same program).

Checked-In: Automatically updated when the worker scans the QR code on event day. You can also check them in manually.

Not Available: The worker is unavailable. Marking this helps avoid duplicate outreach.

Paid: The worker has been paid (applies only if you’re using TD Pay).

Assign: For use by assignors when scheduling officials.

No Show: A confirmed worker who didn’t cancel or show up. Must be marked manually.

Second Confirmation: The worker has accepted your offer. This indicates a strong likelihood they will show up.

Event Was Cancelled: If your event is canceled, use the “Cancel Event” button to automatically notify workers and update their status.
Response Definitions

Pending: The worker was confirmed, but hasn’t accepted or rejected the offer yet.

Accepted: The worker accepted your offer. Their status also updates to “Second Confirmation.”

Rejected: The worker declined your offer. Their status automatically changes to “Canceled.”
W9 Definitions
There is no physical W9 form required. This column simply shows whether the worker has completed payment onboarding, which includes entering the tax information needed to prepare a 1099 at the end of the year.
Pay Column Definitions

Gray Box: The worker hasn’t met all the requirements to be paid yet.

Paid (with or without green check mark): Payment has been sent.
How to Read the Dashboard
Some Examples:

Canceled – This worker canceled their confirmed stipend. No further action is needed.

Standby – This worker is on the standby list. No action is required unless you need to backfill a spot. In that case, reach out to confirm their availability and update their status to “Confirmed.”

Fully Processed – This worker was confirmed, accepted the offer, checked in, had a payment account set up, and has been paid.

Checked-In but Not Confirmed – This worker checked in and has a payment account, but they were never confirmed to work. You can tell because the stipend column is blank. No stipend = not confirmed = not paid.

Unaccepted Offer – Similar to #3, but the worker never accepted the offer. They pose a higher risk of no-show. Consider adding an additional worker to cover the gap.

Same as #3 – Fully confirmed, checked-in, and paid.

Same as #2 – Still on standby. No action unless you need a backup.

Same as #4 – Checked-in, but not confirmed. No stipend = no payment.

Missed Check-In – This worker was confirmed, had a stipend entered, and a payment account connected—but they didn’t check in. Their stipend wasn’t included in your payment total, and the Pay column is grayed out.

If they didn’t attend, mark them as “No Show.”

If they were there but forgot to scan in, manually update their status to “Checked-in” to ensure payment goes out.
