Managing Users: Add, Edit, and Remove Colleagues to Events

The My Users tab, located in the Account section in your Tourney Direct portal, makes it easy to invite colleagues, assign roles, and manage staff access to your events. Follow the steps below to add, edit, or remove users from one, many, or all of your events.


1. Accessing the My Users Tab

  1. Log in to your Tourney Direct portal.

  2. Click on the Account tab (left-hand navigation)
  3. From the top navigation inside of the Account tab, click My Users.

  4. You’ll see two modes:

    • Invite Colleague – add new users to your events.

    • Manage Colleagues – view, edit, or remove existing users.


2. Inviting a New Colleague

  1. In the Invite Colleague section, select the event(s) you want your colleague to access.

    • Use the search box to quickly find an event.

    • You can select multiple events if needed.

  2. Fill in your colleague’s details:

    • First Name

    • Last Name

    • Email Address

    • Role (choose from Director, Head Trainer, Assignor, or Event Operator)

  3. Click Send Invite.

  4. Your colleague will be added to your event(s) and will receive an email notification.


3. Managing Existing Colleagues

  1. Switch to the Manage Colleagues tab.

  2. Select an event from the dropdown.

  3. You’ll see a list of all colleagues associated with that event, including their role and status.


4. Editing a Colleague’s Information

  1. In the Manage Colleagues table, locate the colleague you want to update their role for.

  2. In the Role cell for that colleague, click the drop down box and select the new role for that individual.

  3. The system will automatically refresh showing the new role you've assigned to that individual. 


5. Removing a Colleague

  1. In the Manage Colleagues table, in the Actions column, click Remove next to the colleague you want to remove.

  2. The colleague will no longer have access to the selected event.


6. User Roles Explained

  • Director (Primary) – Main account holder; full access including approving transfers.

  • Head Trainer – Manages athletic trainers with limited access to just those areas of the Event dashboard and Messaging hub that pertain to trainers.

  • Assignor – Manages and assigns officials to events with limited access to just those areas of the Event dashboard and Messaging hub that pertain to officials.

  • Event Operator – General staff role with system access, but cannot approve transfers.


Tips & FAQs

  • Can I invite multiple users at once?
    Yes — you can invite as many colleagues as you’d like, one at a time.

  • What if my colleague didn’t get the invite?
    Ask them to check spam/junk folders. If it’s still missing, resend the invite from within the portal.

  • Can I reassign roles later?
    Yes — use the Edit option in Manage Colleagues to update roles anytime.
