How to Use Messaging as Event Staff of All-types

The Messaging feature in your Staff Portal allows you to communicate directly with event organizers for events you are assigned to.

The Messaging feature in your Staff Portal allows you to communicate directly with event organizers for events you are assigned to.

Whether you're confirmed, on standby, checked in, or reviewing an offer, you can:

  • Receive event updates

  • Ask questions

  • Respond to schedule changes

  • Stay informed in real time

Messaging keeps all communication tied to the specific event — so nothing gets lost in email.


What You’ll See in the Staff Portal

When you open Your Messages – BETA, you’ll see:

1️⃣ Event Selector

At the top of the page, choose the event you want to view messages for.

Only events where you are:

  • Confirmed

  • Second Confirmed

  • Standby

  • Checked In

will appear in your dropdown.

If you don’t see an event, it likely means your status isn’t active yet.


2️⃣ Messaging Window

Once you select an event:

  • Messages load automatically

  • You can start a new conversation

  • You can reply to organizers directly

  • You’ll see messages in a thread format

Everything stays organized by event.


How Messaging Works

🔹 Messages Are Event-Based

Each event has its own conversation thread.

That means:

  • No mixing conversations across events

  • No confusion about which game or tournament you’re discussing

  • Everything stays tied to the correct event


🔹 Who Can You Message?

Messaging connects you directly with:

  • Event organizers

  • Colleagues also confirmed or on standby for a given event (event-based)


🔹 Notifications

When you receive a new message, you may get:

  • A portal alert

  • An email notification

  • An SMS notification (if enabled)

Unread messages remain visible in the portal until you review them.


Starting a Conversation

To message an organizer:

  1. Select the event

  2. Choose who you want to message

  3. Click into the message area

  4. Type your message

  5. Send

Your message immediately appears in the thread.

There’s no need to send a separate email.


When Should You Use Messaging?

Use messaging when you:

  • Have a question about arrival time

  • Need clarification on schedule

  • Want to confirm location details

  • Need to notify the organizer of a delay

  • Have an event-specific question

Messaging is best for event-related communication.


What Messaging Is Not For

Messaging is not intended for:

  • Long-term availability updates (use your availability tools and stipend interest submissions)

  • Contract or payment disputes (use support)

  • Messaging one-on-one (for now)

  • Non-event communication

Keep conversations focused on the specific event.


Why Use Messaging Instead of Email?

Messaging:

  • Prevents reply-all confusion

Frequently Asked Questions

I don’t see my event. Why?

Only events where you are in an active pipeline stage (Confirmed, Standby, Checked In, etc.) will appear.

Can I delete messages?

Yes, simply hover your mouse or pointer over the thread you want to delete and click on the red "x".

Can I message other officials or staff?

Yes, you can message just the event staff, event staff and your colleagues, or just your colleagues.

What if I don’t get notifications?

Check your email and SMS notification settings in your profile.  If you still have questions, please reach out to our support team.


Best Practices for Staff

  • Keep messages event-specific

  • Be clear and concise

  • Respond promptly to organizer updates

  • Use messaging instead of personal texts when possible
