How to Assign Officials and Create a Schedule
This guide walks you through the complete workflow for assigning officials, managing responses, and finalizing officials for your event in Tourney Direct.
The assignment process is designed to be simple and efficient, allowing you to quickly staff events, track responses, and manage payments.
Core Process
The official assignment workflow follows three main steps:
Assign Staff → Send Assignments → Confirm Responses
Once completed, your event schedule is finalized and ready for game day.
Step 1: Open Your Event

Log into your Tourney Direct portal.

Navigate to Events.

Select the event you want to manage.

Click the Officials tab.
This section is where you will manage staffing assignments, rates, and responses for your event.
Step 2: Add Official Rates
Before assigning officials to games, you can set the compensation rate.

Use the Bulk Options menu.

Select Add Rate.

Enter the per-game rate for officials.
The system will automatically calculate each official’s total payment based on the number of games they officiate.
Step 3: Assign Staff
Use the Assignment Generator to schedule officials.
This tool allows you to assign staff based on:
- Facilities/Complexes

Game dates
-
Fields
-
Game times
-
Official availability
Assignments can be generated quickly for complex schedules and multiple fields.
Step 4: Send Assignments
Once assignments are created:

Click Publish Assignments.

Officials will automatically receive a notification.

They can accept or reject their schedule directly from the notification.
This step ensures all officials confirm their availability before the event.
Step 5: View and Manage Responses
The system automatically tracks each official’s response status:

Accepted

Rejected

Pending
If an official rejects their assignment:

Select another official.

Republish the assignments.
Only officials whose assignments have been added or changed will receive a new notification.
Step 6: Finalize the Schedule
Once officials accept their assignments:

Your event schedule is finalized

Officials are locked into their assigned games
At this stage, your staffing is complete and ready for the event.
Step 7: Day of the Event
On game day, managing your officials is quick and simple.
You can:

Use the Bulk Check-In tool to check in officials or have officials scan a QR code upon arrival

Make last-minute game adjustments if needed
After the event:

Payments will be automatically sent out once approved.
